Sending a Fax

Under the ‘Actions’ menu, select ‘New Faxmail’.  A new fax message window will appear.

 

 

Fax numbers can be manually typed into the ‘To:’ field, or contacts can be selected from the phone book by clicking on the ‘To:’ button.

 

The contents of the ‘Subject:’ field will be printed on the cover page of the fax when ‘Send with cover page’ is enabled.

 

The documents to be faxed will be listed in the ‘Attachments’ field.  To view the document, simply click on the attachment itself.  Documents can be attached in the following ways:

 

·         Use the FileàAttach File option to add a supported file to the Fax Message.  The file will be converted for faxing on the client side.

·         Use the FileàAdd File Without Converting option to add a supported file to the Fax Message.  The file will be converted for faxing on the server side

·         Press the attach button      

·         Drag and Drop a supported file type onto the Fax Message

·         Print from any Windows application to the Impact Fax Server printer driver.  This will convert the file to a faxable format and automatically attach the file to the currently open fax message.  If no fax message is open, a new message will be generated with the file attached.

 

Supported (attachable files) include:

 

*.DOC, *.RTF, *.TXT Microsoft Word must be installed.

*.PPS                                     Microsoft Power Point must be installed

*.HTML, *.HTM                      Microsoft Internet Explorer must be installed.

*.PDF                                     Adobe Acrobat Reader must be installed

JPEG

Bitmap

PCX Files

 

 

By default the Impact Fax Server will place a fax header on every outgoing fax.  The Fax Header will contain the date and time the fax was sent, the CSID, and the page number.  Unchecking the ‘Create Fax Header’ will disable the fax header.

 

Check the ‘Send with cover page’ option if you would like to include a personalized cover page along with your fax.  For additional details on cover pages, see the Customizing the Cover Page section of this manual.

 

Fax priority can be specified from the Priority drop down box.  By default, all faxes are sent using standard priority.  If you need to send a fax as quickly as possible, set the Priority level to High. Set the priority to Low If the fax is not important and you know that there are other more important faxes to be sent. The Impact Fax Server will automatically prioritize faxes based on these settings.

 

When the fax is ready to be sent, either press the Send button  or use the Send Fax menu item from the File menu.

The outgoing fax will then be in the Outlook Outbox and will send immediately or, in the event of Microsoft Exchange being used, will be sent when the Send/Receive button is pressed or on the next scheduled Send/Receive.
