Adding Fax Mail to an existing profile

 

The following information applies to Outlook 2002 and earlier

 

If you already have a Profile that you regularly use (for example, to check  e-mail), you can continue using it by adding the Impact Client Transport. This is done automatically in the installation. However, additional users should follow the steps below to add the Fax Service:

 

·         Start Microsoft Outlook. In the Profile selection dialog box, select the profile you want to add fax mail to. If you use Microsoft Outlook with the same default profile all of the time, the profile selection dialog box will not appear.

·         Select ‘Services’ under the ‘Tools’ menu item.

·         The Services dialog box appears showing all of the services that have been added to your computer.  Click on the add button.  Please see the screen shot below:

 

 

·         Select ‘Black Ice Fax Service’ and click OK.  The following dialog box will appear and ask for the different parameters of the Transport Service.  Please see the screen shot below:

 

 

 

 

 

Full Name:                     Your name as it will appear on the fax cover sheet.

To specify another name on the fax coverpage, enter it in the ‘From’ field of the Fax Form before sending.

Company:                     Your company name.

Fax number:                 Your fax number, where  recipients can reply.

Domain Name or         Here you should enter the IP

IP Address of             address or domain name of the

the Server:                    Impact Fax Server that is installed.  For example: yourdomain.com or 127.0.0.1

Account Name:            Your user ID to log onto the fax server.

Password:                    Your password to log onto the fax server.

 

 

The full name, company name and fax number parameters are optional, but they will appear on the cover page. As a result, it is recommended that they are filled out.

The internet fax server, account name and password parameters must be filled out. Without them, the client will not work.

 

 

The picture above shows the second sheet of the property dialog box. This sheet contains several different settings:

 

Font Information: The font that chosen here will be used to convert the contents of the mail to fax.

 

Transferring Messages: Specifies how messages are transferred. If ‘On-Line’ is chosen, the outgoing messages are transferred to the server automatically and received faxes are downloaded to the fax client.

When Off-Line is selected you can use the Exchange Client’s or Outlook’s ‘Remote Mail’ feature to mark the received faxes you want to download, copy or delete. While using Remote Mail, you can compose messages and send them to your Outbox at any time and send and receive messages when you connect to your mailbox.

Using Remote Mail is especially useful when you only connect to the server temporarily through a phone line, from a laptop computer for example.

 

Schedule: Here you can specify how frequently you wish to check if there are new faxes in your mailbox on the server.  The amount of time should be in minutes.

The mailbox is checked when the transport operates On-Line.  Please see the screen shot below:

 

 

Show destination number on fax: If this box is not checked, the destination fax number will not be printed on the coverpage and in the fax header of sent faxes. Please see the screen shot above.

 

Set Auto Profile: If this button is clicked, a little dialog box will open. In this dialog you can specify which profile should be used when Windows Messaging automatically starts after someone prints to the Impact Client printer.

If you leave this Profile field empty and press OK, the default profile will be used.  Please see the screen sot above.

 

The following information applies to Outlook 2007

 

·         Start Microsoft Outlook. Navigate to Toolsà Accounts Settings…

·         On the E-mail tab if you cannot see “Black Ice Fax Service” in the list, than click on the “New…” button

·         In the “Choose E-mail Service” the choose the “Other” option and from the list  choose “Black Ice Fax Service”

·         In the “Choose E-mail Service” the choose the “Other” option and from the list  choose “Black Ice Fax Service”

·         Click Next

·         Fill out the following form  with the specified details below

 

Full Name:                     Your name as it will appear on the fax cover sheet.

Company:                     Your company name.

Fax number:                 Your fax number, where  recipients can reply.

·         Click finish on the final dialog and the service has been added. The Outlook Client will have to be closed and re-opened for the changes to take effect.


The following information applies to Outlook 2003

 

·         Start Microsoft Outlook. Navigate to ToolsàEmail Accounts…

·         When the following dialog appears, ensure that “View or change existing e-mail accounts” is selected and click Next.

·         On the next screen if the “Black Ice Fax Service” is not listed, click Add…

·         Select “Additional Server Types” on the next dialog and press next.

·         When the following dialog appears select the “Black Ice Fax Service” and click Next.

·         The “Black Ice Fax Transport Service dialog will appear and fill out the form accordingly and press “OK”.
